What is a bottleneck in business?

In a business setting, bottlenecks occur at points in a process where work gets stuck or slowed down, preventing the workflow from moving smoothly. This can make the entire workflow inefficient and overload employees, especially if multiple bottlenecks affect different processes simultaneously.

While bottlenecks are easier to spot in physical production lines, process bottlenecks can also be identified by looking for delays and understanding their causes.

Example of a Bottleneck in Business

Scenario: Online Retail Store

Background: An online retail store sells various products and has been experiencing a surge in orders due to a successful marketing campaign.

Process Flow:

  1. Order Placement: Customers place orders on the website.
  2. Order Processing: Orders are verified and prepared for shipping.
  3. Inventory Check: The system checks if the items are in stock.
  4. Packaging: Items are packaged for shipment.
  5. Shipping: Packaged items are shipped to customers.
  6. Customer Support: Handles any inquiries or issues related to orders.

Identifying the Bottleneck:

  • The Inventory Check stage is becoming a bottleneck. The system currently relies on manual inventory checks, and with the surge in orders, the team responsible for verifying stock levels can’t keep up. This delay means that the orders can’t be processed and moved to the packaging stage in a timely manner.

Impact of the Bottleneck:

  1. Delayed Order Processing: Orders take longer to move from placement to shipping, frustrating customers.
  2. Increased Customer Enquiries: With delays, customer support is overwhelmed with enquiries about order statuses.
  3. Overloaded Employees: The inventory team is overworked, leading to errors and further delays.
  4. Lost Sales: Potential sales are lost due to out-of-stock items not being updated promptly, causing customer dissatisfaction.

Solution:

  • Implement an automated inventory management system that updates stock levels in real time and integrates with the order processing system. This reduces the manual workload and speeds up the inventory check process, allowing orders to be processed more quickly and efficiently.

The online retail store can ensure a smoother workflow, improve customer satisfaction, and maintain a more efficient operation by addressing this bottleneck.

Are you the bottleneck?

I had an interesting conversation with someone recently about the ‘business bell curve’. We discussed how many businesses experience good, consistent growth and then get to a point where things start to slow down and plateau. The conclusion we reached was that businesses are limited by the potential and skill set of the leader. i.e. your business will never be able to grow beyond your ability. So, to stay ahead of the game, you need to either replace yourself or work relentlessly on your abilities so as not to become the bottleneck to your business’s potential.  

Here are four things that I think excellent leaders do consistently to keep their businesses moving forward: 

  1. Set clear goals. It is important to have a compelling vision of where the business is going and articulate this clearly and regularly to your team to create alignment. People need a sense of purpose to do their best work. Are you helping your team do their best work?   
  2. Surround themselves with the best people. We all know that it’s not about doing everything in the business ourselves; instead, it’s about finding and keeping the best people. The key here is that outstanding leaders take the time to do this properly, from having clear business values to developing a consistent culture to personal development plans and 1-on-1s. Do you focus time and energy on these factors daily, or do the day-to-day issues hijack you?   
  3. Review and reflect: Business is faster than ever, and it sometimes feels like one week melts into the next. Regular quality-thinking time is really important to understand what’s working, what’s not working, and what needs to change. Great leaders do this both personally and with their teams regularly. Are you taking enough time out to review and reflect?   
  4. Know the numbers. Knowing the numbers leads to better decision-making and, therefore, better results. Further, understanding the critical activities that drive those numbers and ensuring that someone owns each activity leads to excellent results over time. Does everyone in your business have a key metric for which they are responsible?  

None of this is particularly complex. As with most things in life, it’s all about doing the basics well.
